Fill out Timesheet as you go (.25 = 1/4 hour; .50 = 1/2 hour; .75 = 3/4 hour, 1.0 = one hour
Listen to VoiceMail: respond as needed, make notations, or contact JD or AW as needed.
Check Calendar: Confirm Meetings, Deliveries or other Schedules – Always the day prior – with Both Client and Vendor, Workroom or Delivery Service.
Reference and Complete Work on Calendar Pending Lists. Check Client Binders (Follow up on quotes and open orders – place any new orders if money received from client)
Put Work to be reviewed by JD or AW in their boxes or Calendar Pending Notes
File in Client Binders as needed (bills filed alphabetical by First name of vendor or Jobs by room.)
Check Mail: Open/ Process as needed (mail delivery is approx. 11:00am/post box pick up at market 5:00pm)
Prepare Deposits if Bookeeper not in. (leave copy of check, deposit, and invoices in bookkeeper in basket)
Invoicing: ADD any Purchases, Shipping, Delivery Charges to QB and Google Docs.
Check Receivables and send Reminder Copies of overdue Statements/Invoices if over 30 days.
Pay Bills: Prepare Vendor Checks
Dust Computer and Desk Areas: Reload Printer with Paper. Periodically check Stapler, Empty Pencil Sharpener, Etc.
Check Office Supplies (Design Presentation Materials, Paper, General. Make List and Order (check with JD or AW)
Total your Timesheet at Week End (Or Monday A.M) and input in QB.
Review Both Phone Message Book and Email and Carry open items into next week.
File – Garage Lateral File and Storage Boxes – Update index.
Create New Client Files/Binders/ Tabs/Rolodex Cards as Needed
Maintain Archive Storage Records/Boxing up Files as Needed
Meeting Deliveries & Installations/Pick up Samples/ General Errands
