We are a boutique law firm specializing in real estate and eviction law, dedicated to delivering personalized, client-focused legal services. As we continue to grow, we’re seeking a proactive and adaptable Legal Assistant to support our team and help keep the office running smoothly.
This role is ideal for someone who enjoys taking initiative, solving problems, and handling a mix of routine and unexpected tasks. If you’re looking to grow into a Paralegal position and build a long-term legal career, this is a perfect fit. Tasks will be introduced gradually. You’ll receive hands-on training from the current Legal Assistant, who will remain in the office to support you.
Key Responsibilities:
- Client Relations: Greet clients and visitors warmly and professionally. Manage initial inquiries, answer phones, take messages, and direct calls to the appropriate team members.
- Document Handling: Prepare, draft, edit, and proofread legal documents and correspondence; file documents with the court and maintain organized client files, both physical and electronic.
- E-Filing with Courts: File legal documents electronically with the court as needed. Occasionally, attorneys or paralegals will provide the documents for filing. Prepare and file lower-level, less complex documents yourself.
- Document Management: Physically organize documents into files, create and label files, and organize documents electronically on our case management portal and Microsoft OneDrive.
- Case and Calendar Management: Assist with scheduling appointments, coordinating attorney calendars, and arranging meetings, conferences, and court appearances.
- Trial Preparation Support: Organize binders and prepare case materials for trial appearances.
- Mail Management: Handle all incoming and outgoing mail, including serving legal documents via email and mail.
- Office Management: Coordinate with office vendors (e.g., water, printer services), maintain office supplies and snacks, and monitor stock levels to ensure smooth operations.
- Errands and Deliveries: Occasionally trips to the post office (within 0.5 mile of the office), rare trips to the courthouse as needed.
- General Support: Take on additional tasks as they arise, finding solutions to new challenges and providing general support as needed.
Experience and Qualifications:
- Professional Experience: 1-2 years in a legal or administrative role, with familiarity with office administration and legal procedures.
- Technical Skills: Proficiency in data entry, document management systems, Microsoft Word, and Adobe. Experience with MyCase is a plus.
- Organizational Skills: Excellent multitasking, prioritization, and attention to detail.
- Problem-Solving: Proactive and resourceful; able to independently seek out information and confidently navigate unfamiliar tasks.
- Education: Associate or Bachelor’s degree preferred, though relevant experience will also be considered. A Paralegal certificate or similar qualification is highly desired.
